Enrollment Policy
-
The Parent or Legal Guardian are the only ones allowed to create an account and add students. You can add multiple people to account if grandparents, aunts, uncles etc., if they are going to be ones bringing them or paying for classes.
-
By signing up for your class, you are committing to a full session of recreational gymnastics at Williamsburg Gymnastics for the dates and times listed.
-
If for any reason the card we have on file is declined, we will make reasonable attempts to contact you via email and phone before dropping your child from the class. If we are unable to reach you in a timely manner, your enrollment will be dropped and we will contact our waitlist to fill the spot.
Class Makeup Policy
-
If your child is going to miss a class, please let us know as soon as possible. Please email gyminfo@williamsburggymnastics.com to report an absence.
-
To maintain appropriate coach-to-athlete ratios and a high caliber of gymnastics instruction, we are unable to accommodate makeup classes for missed class times.
-
With written notice, we will honor one makeup token per session for a missed class. If your child misses more than one class, it is considered just missed time in the gym.
-
Makeup tokens never expire and can be used at any of our open gym times. A missed preschool class will be issued a makeup token for our preschool open gym and all other missed classes will be issued a makeup token for our school-aged open gym.
Class Drop Policy
-
We understand that plans change. If, for some reason, you are unable to fulfill the commitment to our full session of classes, and would not like to incur any additional charges to your card on file, we require at least a 15-day written notice to gyminfo@williamsburggymnastics.com informing us of your decision to drop the class. In the email, please include your child’s name, the class they would like to drop, and the last date they will be attending the class.
-
If the drop date occurs after the first of the month, we will charge a prorated tuition for the classes that your child will attend before the 15-day drop date deadline.
-
After dropping a class, your child will be removed from the roll sheet and we will contact our waitlist to fill the spot.
Waitlist Policy
-
If a spot opens up in a class during the session, we will notify the first person on the waitlist via email and/or phone call.
-
If we have not received a response to accept the spot in the class within 72 hours of the first notification, we will offer the spot to the next person.
-
Within the waitlist, we will prioritize first those who are not already enrolled in another weekly class, then move on to those who are looking to add an additional weekly class.
Dress Code
-
Your child can wear either a leotard or comfortable athletic clothing for class.
-
Please tuck in all t-shirts and wear undergarments under leotards.
-
No excessively baggy clothing, jeans, zippers, crop tops, two-piece leotards, tank tops, or spaghetti straps. These items interfere with spotting athletes.
-
Long hair below ear-length must be securely pulled back out of your child’s face.
-
No jewelry is allowed except for stud earrings. Please remove all bracelets, anklets, watches, necklaces, dangly earrings, and additional hair ties from wrists before coming to class.
Drop-Off and Pick-Up
-
Please refer to the map below for drop-off and pick-up locations. Our highest priority is that all athletes enter and exit the building safely.
-
Five minutes before the class start time, one of our coaches will open our right side door to begin check-in (see map below). We appreciate your patience during this process!
-
At the conclusion of their class, all athletes will be released from the building's same right side door used for entry (see map below).
-
If you are late to class and the right side door is already closed, please come to the front of the building and check in at our front desk.
-
Parents of gymnasts in one of our preschool classes are required to escort their child into the building and remain in the building for the duration of the class. For our Parent & Me classes, parents are required to accompany their child into the gym area. For our Tiny Tots classes, parents are encouraged to accompany their child into the gym area. For our Preschool classes, parents may choose whether or not to accompany their child into the gym area.
-
Parents of gymnasts in one of our school-age recreational classes are not required to escort their child into the gym. However, we do ask that you wait with your child until they have been checked in at the side door by a coach and entered the gym safely. DO NOT drop off your child at our facility if there is not a coach at the door to let them in.
-
Parents are welcome to come into the gym and observe classes from our lobby viewing area. Please enter through our front door if the side door is closed.
-
If your child’s class ends during a high-traffic hour at the gym (for example, weekday evenings and Saturday mornings), we may ask that parents clear the lobby area five minutes prior to the end of class. Our coaches will help get gymnasts ready to leave and dismiss them from our right side door. This helps ease congestion in the lobby space and allows us to ensure that each child leaves safely with their respective adult.
Parking Lot
-
We have many neighboring businesses. We ask that you follow the guidelines listed below while in our parking lots.
-
Please drive safely and cautiously! There are many delivery trucks and children who are entering and exiting buildings and cars in the parking lot. Please be vigilant and drive slowly.
-
Do not park in the loading zones AT ANY TIME.
-
Do not block other cars while you wait for your child.
-
Do not block the driveway.
-
If you have a child that is age six or under, please exit your car and wait where they can see you to ensure their safety during dismissal.
-
After 5pm, you may park across the street at JCSA and walk your athlete across the street. If you park over there, you must walk over to escort your athlete. We will not allow your child to cross the street alone.
Photos/Video Recording
-
If you are taking photos/videos of your child in class, please try and keep other children and team athletes out of the background.
-
We do not have permission from all gymnasts to be posted online. If you would like to post a photo from the gym on social media, you are welcome to (tag us!), but please ensure you have permission from the parent/guardian of every gymnast in the photo.
-
Please refrain from taking photos/videos with flash. It is distracting to the gymnasts.
Things to Bring to Class
-
A water bottle. Water fountains are closed in our building, so we ask that all athletes provide their own water bottle for personal use. We have a water bottle filling station open.
-
A mask, if needed.
-
We ask that anything of value be left at home since belongings are stored in an open common area during class.
Wellness Checks
-
We will issue hand sanitizer to all gymnasts entering our facility.
-
We monitor children for runny noses, coughs, upset stomachs, headaches, etc. If a child is not feeling well, we will send them home from class or camp.
-
We are asking families to continue to be diligent in not sending their children to gymnastics if they or anyone in their household is feeling ill, they have had exposure to COVID-19, they are not allowed to attend school due to a possible exposure in the classroom or on a school bus, or they are awaiting results of a COVID-19 test.
-
If you are not able to attend class or camp for one of the reasons listed above, we will make every effort to accommodate you.
